This Financial Policy forms an integral part of the Terms and Conditions of Sunrise Virtual School (SVS), a Cambridge International curriculum virtual school registered and operating in Kenya. It supersedes any conflicting provisions in the general Terms and Conditions and is guided by the Laws of Contract of the Kenyan law, and international best practices. The policy is designed to be fair, transparent, and supportive of families while safeguarding the school’s financial sustainability and the quality of education we deliver.
1. General Principles
- School fees are payable in advance for the educational services to be rendered each semester.
- Enrollment constitutes a contractual commitment to pay the full semester fees as per the approved structure.
- All fees are non-refundable except in cases explicitly provided for in this policy.
- Installment plans are strictly payment schedules and do not represent a prorated or subscription-based fee. The full semester fee remains due and payable in full for any learner admitted in a new semester.
- The school reserves the right to revise fees with at least 30 days’ written notice.
2. Payment Terms & Installment Plans
- Fees follow the approved semester structure for AY 2026/2027, with a standardized Activity Fee of equivalence of Ksh 5,500 per semester.
- Standard Installment Plan (subject to prior written approval by the Accounts Office):
- 40% of the semester fee — due on or before the 5th day after the semester opens.
- 40% of the semester fee — due on or before the 5th day of the following month after the opening month.
- 20% of the semester fee — due by the 8th week of the semester or during the mid-semester break, whichever is later.
- Parents remain fully liable for the entire semester fee irrespective of attendance or early withdrawal.
Early Payment Discount:
- A 7% early payment discount on the full semester tuition fee is available only if the entire semester fee is settled within 7 days from the semester opening date. The Finance Department reserves the right to withdraw or adjust any discount granted under this policy.
Late Payment Penalties:
- A 1.5% penalty applies to any instalment unpaid after 21 days from its due date.
- Penalties apply in addition to, and do not prevent, suspension of services.
Access & Suspension
- Access to learning platforms, classes, and school activities will be automatically suspended within 2days after the last notification made unless prior written approval has been obtained from the Accounts Office.
- No further extensions will be granted beyond published deadlines except in truly exceptional circumstances approved by the Principal and Finance Committee.
3. Fee Clearance for Transitioning and Progression
- All outstanding fees, penalties, and balances from the previous semester must be fully cleared before a learner can access the new semester, receive reports, transcripts, register for Cambridge examinations, or progress to the next year group
4. Late Onboarding / Mid-Semester Admission
- This provision applies exclusively to new learners joining the school.
- New learners joining after the mid-semester break or after 8 weeks from the semester opening date will receive a 35% discount on the full semester fee.
- No additional discounts (including early payment, sibling, or referral discounts) shall apply in such cases.
- Full payment of the discounted fee is required within 5 days of admission.
5. Referral and Marketing Campaign Discounts
SVS actively encourages community growth and values authentic testimonials.
Referral Policy:
- A referring parent/guardian earns a 40% discount on one semester’s tuition fee equivalent to the referred learner’s year group.Each additional learner referred from the same family attracts a further flat discount of equivalent of KSh 10,000.
- The discount is credited only after the referred learner has paid their first full semester fee (deemed full admission).
- Conditions: The referrer’s name and learner Registration Number must be provided at application; both accounts must remain active and fee-cleared; the discount applies to one semester only and cannot be combined with other discounts on the same component. The referral applies per individual learner who joins.
Marketing Campaign & Testimonial Discounts:
- Billboard / Video Advertisement Participation: Families who consent to their child’s or family’s participation in official school marketing campaigns (e.g., billboard and videos ads) may receive a discount of up to 25% on one semester’s tuition. Consent grants the school a buffer for the duration of the academic year to use the approved content.
- Formal written consent is preferred, but the school reserves the right to use material where verbal or implied consent has been given during participation.
- Parent/Learner Testimonials: Families providing approved written or video testimonials may receive a discount capped at 10% of one semester’s fee.
All marketing-related discounts require prior approval by the Finance Department and are subject to the same terms as other discounts with an official email issued by the Marketing department to ascertain involvement.
6. Other Discounts
- Sibling Discount: 10% on tuition for each additional sibling (applied to the higher level-fee child).
- All special discounts are subject to the Finance Committee approval on the standings of the Learner ,where previous standing will all be reviewed in each new academic year.
7. Special Arrangements
Any special payment arrangements must be requested in advance and approved in writing by the Accounts Office. All arrangements remain strictly within this policy. No exemptions from penalties or suspension rules shall be granted outside the provisions in Section 3.
8. Withdrawal, Refunds & Space Retention
- One full semester’s written notice is required, or payment of one semester’s fees in lieu of notice.
- All arrears must be cleared before transcripts, certificates, or clearance letters are issued.
- No refunds are payable for partial attendance except in documented medical cases or school-initiated withdrawals (subject to Board approval).
9. Communication, Support & Enforcement
All fee communications are sent via official email and the parent portal.
Parents experiencing genuine financial difficulties are encouraged to contact the Accounts Office at least 14 days before any due date for confidential review by the Finance Committee.
This policy is governed by the laws of Contract. Any disputes shall be resolved through a Mediation where applicable.
